Updating existing athlete entries via an import (including bib number, team & seed)

If you already have your athlete entries in Liveheats and need to bulk update one or more entry fields (e.g., bib number, team, seed), you can do this via the Import entries feature on the Event dashboard.


How to Update Existing Entries via an Import


  1. Download the existing entries:
  • Go to Reports and download the Event Entries (CSV) file.


  1. Prepare the updated entries:
  • Import the downloaded CSV file into a spreadsheet application like Microsoft Excel or Google Sheets.
  • Edit the entries as required.
  • Add any missing columns (e.g., Bib, Seed, Team, Nationality, or custom fields).


Important: We use Name, Date of Birth (DOB), and Division to identify existing athlete entries. If any of these fields are modified, new entries will be created instead of updating existing ones.


  1. Export the updated file:
  • Export the spreadsheet as a CSV file. This option is usually found in the File menu, labelled as "Export as .CSV" or "Download as .CSV."


  1. Import the updated entries into LiveHeats:
  • Go to the Event dashboard and click the three-dot menu at the top right corner of your Divisions section.
  • Select Import Entries to open the import wizard.

  • Click Select File and choose the updated CSV file.
  • Select the header row and click Next.
  • Match the columns from your CSV file to the corresponding fields in LiveHeats by selecting the correct options from each dropdown list. Some matches may be automatically suggested. Once ready click Next.

Note: If no matching field is available in the dropdown, it indicates that the field cannot be edited via the entries import feature (e.g., Date of Entry, Status, Payment Reference). You can either leave the dropdown blank or click the "x" button next to the column name.


  1. Review and confirm:
  • Review the data that will be imported.
  • Click Confirm.
  • A final confirmation message will be displayed. Review it carefully and click Import Entries to complete the process.
